A team is any group of coworkers, fellow students, religious/civic organization members, friends, or family members that pre-register, raise money and walk together on the day of Palm Springs AIDS Walk Saturday, October 22, 2011. Any team that registers 10 or more walkers OR raises $1,500, by noon on Friday, October 14, 2011, qualifies for a Team Meeting Station at Palm Springs AIDS Walk

Forming an AIDS Walk Team is a powerful morale builder for all types of companies, schools, and organizations. Palm Springs AIDS Walk is a time for meaningful relationship-building outside of the work or school environment; a great reason for friends and family groups to get together; a way to show support for those fighting HIV/AIDS; and a chance to walk in memory of loved ones, and honor those living with the disease. 

What are a Team Captain's Responsibilities?

A Team Captain’s role is to recruit, inspire, and motivate people to register as well as raise funds. In order to promote team participation, a Team Captain's first task is to distribute Palm Springs AIDS Walk registration information to all potential walkers as quickly as possible. After walkers begin to register, following up is essential to maximizing funds raised for the clients of Desert AIDS Project

How Do I Set Up My AIDS Walk Team Webpage?

It's easy! Visit www.desertaidsproject.org/aidswalk and click on "REGISTER". Once you register, you can customize your webpage, send out team recruitment e-mails, set team goals, change your password, and more! As the days go by, you can monitor the success of your team by checking donation pledge totals and obtaining donation and team-recruitment reports.

What Do I Have To Do As A Team Captain?
A Team Captain's role is to recruit, inspire, and motivate people to register as well as ask for and collect donation pledges. A Team Captain's first task is to distribute Palm Springs AIDS Walk registration information to all potential Walkers as quickly as possible. After Walkers begin to register on your team, following up is the key to collecting donation pledges. For larger teams, it is recommended that the Team Captain work with a Co-Team Captain(s) or form a Palm Springs AIDS Walk committee. What Is A Matching Gift?

A matching gift is a donation made by a corporation or foundation on behalf of an employee. The donation matches the contribution made by that employee to a nonprofit organization. Encourage every walker and/or runner on your team to check their company's matching gift policy, so that you can raise the maximum amount of donation pledges. Matching gifts are an easy way to Double your Fundraising Dollars by just filling out a matching gift request.

Are There Any Incentive Awards For Raising Money?
Incentive Awards will be available for all walkers who collect and turn in the following amounts for Palm Springs AIDS Walk on Saturday, October 22, 2011:

  • $0 FREE Back Pack
  • $25 Palm Springs AIDS Walk & Run Commemorative 2011 T-Shirt!
  • $150 Above items plus Commemorative 32 oz. Water Bottle
  • $500 Above items plus Cool FitTM AIDS Walk Cap
  • $1000 Above items plus two (2) invitations to the AIDS Walk VIP Brunch 
  • $2000+ Above items plus custom gift basket with $100 value minimum - just for you!

School Team With the Most Donations Earned

Middle and High School Team totals will be tallied and the School team with the most money raised will win a FREE yogurt & ice cream or pizza social for their team. 

Team With the Most Donations Earned
Team totals will be tallied and the top non-School team raising the most money will receive a unique gift basket of merchandise, special acknowledgment from the stage and in post-event correspondence, plus a special tribute award. This award will be announced after the Walk.

When Must Pledged Funds Be Submitted To Be Eligible?
The deadline to hand in funds for Incentive Awards, with final Team totals to be tabulated is Friday, October 14th, the Friday prior to the Palm Springs AIDS Walk. 

Ideas for Maximum Donation Pledges

  • Send out a Palm Springs AIDS Walk flyer with your team registration information with your employees' paychecks many weeks in advance. Put a sign-up sheet in the break room with pictures from last year's Palm Springs AIDS Walk.
  • Ask previous donors to take an active role and become a Team Member.
  • Leave a group voicemail for all Team Walkers weekly about the Palm Springs AIDS Walk. Start a friendly competition to see which department can get the most people registered. Also encourage participation at every group or managers meeting and every get-together.
  • Advertise with signs and set up tables in the cafeteria with laptops so people can register online during lunch. Keep people motivated by sending emails and encouraging them to be Walkers.
  • Put sign-up sheets at a company-sponsored coffee and bagel Palm Springs AIDS Walk kickoff breakfast.
  • Try to get a story about your team on your company's intranet site or in the company newsletter.
  • Start a team made of people who you went to high school with, and use it as a reunion. Send a group email to everyone from high school using a social media tool like Facebook, Twitter, LinkedIn, etc.

  • Make sure to share your reasons for participating in the Palm Springs AIDS Walk with others. Telling people your story is more powerful than just asking for a donation.
  • Start early and get a few people on your team who share a passion for worthwhile causes.
  • Send out weekly e-mail, Facebook or Tweet updates and list everyone's donation pledge total, from highest to lowest, to get the competition going!
  • Hold drawings using simple items like gift cards and movie tickets, for people who hit milestones such as $250, $500, and $1,000. Let them know when the next drawing will be, what the prize is and what milestone they had to hit to be included.
  • Send out celebration e-mails highlighting anyone who hits the milestone.
  • E-mail all your customers, suppliers, and manufacturers all over the world and ask for a donation.
  • Wear-your-jeans-to-work day! Choose a Friday prior to the Walk and send out an announcement that if you donate $5 to the Palm Springs AIDS Walk, you can wear jeans that Friday instead of normal business casual attire. (Be sure to clear this with management first.) Other incentive ideas might work better at your place of business – free pizza, the boss throws a party – be creative!
  • Be persistent. People have busy lives and DO get side-tracked. It may take more than one contact with a potential donor to receive money.
  • Use our online registration to design your own webpage and have friends and family members sponsor you online, simply by using their credit card. Sponsors can also send their pledges directly to the Palm Springs AIDS Walk office with one of the donation forms and we will credit their donation toward your goal. Both options make sponsoring easy, fast, and effective!
